Pre-Award SERVICES

Finding Funding Opportunities

The College of Medicine Research Office assists investigators in identifying funding opportunities that align with their research goals, drawing on institutional expertise and knowledge gained from prior proposal submissions. Investigators may also take advantage of broader funding opportunity searches offered by the University’s central Office of Research Research Development team, which supports the entire research community.


Proposal Development and Submission Support

The College of Medicine Research Office supports investigators throughout the proposal development process. While the University’s Office of Research Proposal Team serves as the sole authorized unit for submitting proposals on behalf of the institution, the COM Research Office facilitates key preparatory activities, including sponsor guideline review, budget development, entry into the University’s electronic research administration system, and coordination of internal approvals. Early engagement with our team allows for more comprehensive support and a smoother submission process.

Investigators are encouraged to complete the Proposal Transmittal Form (PTF), which helps our team gather key information about the proposed submission and provide the most effective support.


Just-in-Time and Pre-Award Sponsor Requests

Some sponsors require additional information or updates prior to issuing an award. These requests may include documentation such as Other Support, regulatory approvals (e.g., IRB, IACUC), or revised budgets. The College of Medicine Research Office assists investigators in coordinating and assembling these materials to support a timely and efficient transition from proposal review to award.

Award Management SERVICES

Notice of Award and Grant Setup

Once a Notice of Award is received and formally accepted, the College of Medicine Research Office reviews award‑specific terms and conditions and coordinates the setup of the project account in UCF Financials. During this phase, our team works with investigators and departments to address project staffing needs, including new hires or required ePAF updates, helping ensure a smooth transition into the award period.


Ongoing Award Support

Throughout the life of an award, investigators may require ongoing administrative support related to budgets, personnel, and non‑technical sponsor requirements. The College of Medicine Research Office provides ongoing administrative support to investigators, including assistance with account monitoring, budget transfer requests, deliverable management, and compliance with terms and conditions of the award.


Project Closeout

Project closeout is an important consideration throughout the award period. As projects near completion, sponsors require timely submission of final non‑technical deliverables, reconciliation of expenditures, and processing of any remaining personnel actions. The College of Medicine Research Office supports investigators and departments during this phase to help ensure closeout requirements are addressed accurately and on schedule.
